The module

The policy lifecycle, connected end to end.

TrackDMS combines the document library with policy revisions, review, distribution, acknowledgment, and compliance reporting.

01 / TRACKDMS

An organized document library

Upload and preview files, organize folders, share with the right readers, and find material by metadata or indexed content.

02 / TRACKDMS

Policy identities and versions

Use policy numbers and ownership metadata. Preserve version history, compare changes, and see what was in force on a given date.

03 / TRACKDMS

Draft, review, approve, publish

Keep revisions separate from the current policy. Discuss drafts, route approvals, and publish through the policy workflow.

04 / TRACKDMS

Reading with acknowledgment

Assign required reading, record the version acknowledged, and explain what changed when a policy needs to be signed again.

05 / TRACKDMS

Comprehension and follow-up

Connect a policy to a QuizSyncCM comprehension check, monitor overdue obligations, and manage scheduled policy reviews.

06 / TRACKDMS

Evidence and lifecycle controls

The expanded policy suite includes evidence packets, retention and legal-hold workflows, standing assignments, and public-policy publishing controls. Enablement depends on rollout.

THE VAGUE VERSION

Email the updated policy to everyone.

ADD THE CONTEXT

Record the policy number, version, effective date, owner, and approver. Identify the audience, summarize the change, define whether acknowledgment or a comprehension check is required, and track outstanding actions.

01

Assign an owner and approver

Name the role responsible for accuracy and the authority required to approve the document.

02

Control the version

Give every approved revision an identifier, effective date, change summary, and link to the superseded version.

03

Distribute intentionally

Identify the roles affected by the change instead of sending every document to everyone.

04

Track acknowledgment separately

Delivery shows that a document was sent. Acknowledgment shows that a person confirmed receipt or review.

05

Archive without creating confusion

Remove superseded versions from the active library while preserving history according to your records policy.

AVOID / 01

Using email as the policy library

Attachments create uncontrolled copies and make it difficult to know which version a person opened.

AVOID / 02

Confusing delivery with acknowledgment

A sent notification does not prove that the recipient received, reviewed, or understood the change.

AVOID / 03

Hiding the change itself

A revision notice should say what changed and what action is required—not only that a new version exists.

Looking ahead

What’s on the horizon.

These items describe future work for TrackDMS. Planned features, draft proposals, and deferred ideas are identified separately.

Planned

Offline policy reading

Assigned policies and acknowledgments with local queuing and a checked synchronization step when connectivity returns.

Planned

AI-assisted revision drafting

Draft proposed changes with cited rationale, then pass them through human review, approval, and publication.

Planned

Policy consistency review

Find potential contradictions, overlaps, and stale references across policies, with cited findings for review.

Planned

Reviewed multilingual policies

Manage translated renditions tied to a version, with human review before a translation is available for acknowledgment.

Planned

Policy and training analytics

Combine reading, acknowledgment, review-currency, question, and comprehension trends to identify training needs.

Planned Connected accreditation

AccreditPath would connect standards, dated assessment cycles, assignments, and version-specific proofs from policies, quizzes, qualifications, and completed checklists. Its roadmap includes self-assessment, time-limited assessor access, reporting, edition crosswalks, and AI evidence suggestions for human review.

  • Standards & cycles
  • Evidence links
  • Self-assessment
  • Assessor access
  • Reports & gaps
Planned Bring Your Own Agent

Connect an agency-approved personal AI agent to permitted platform information. The planned design includes expiring access, scoped permissions, useful answer tools, human-reviewed proposals, optional limited actions, event updates, exports, and agency oversight.

  • Guided connection
  • Permission controls
  • Reviewable proposals
  • Activity logs
  • Revocation

Roadmap reviewed September 7, 2026. Planned features have no committed release date. Availability of implemented features depends on enabled modules, permissions, configuration, and rollout. The wider platform roadmap also covers shared messaging, team workflows, reporting, notifications, and record migration.

Straight answers

A little more clarity.

Is delivery the same as acknowledgment?

No. Delivery shows that a policy was distributed. Acknowledgment records a person’s attestation against a version. A comprehension check provides another kind of evidence.

Can a revision replace the current policy before approval?

The workflow keeps a proposed revision separate from the published document and uses draft, review, approval, and publication stages.

Does publishing a microsite expose our policy library?

No. This microsite contains educational content and illustrative data. TrackDMS’s public policy portal is a separate, deliberate publishing capability for selected agency policies.

Are all new policy-suite features enabled for every agency?

Enablement depends on the modules, permissions, configuration, and rollout for your agency. Confirm the features available in your environment with InterventionPro.
